Formatting Guidelines for UbiComp & ISWC 2018 Doctoral Colloquium Abstracts
Microsoft Word Instructions
- Read through the ACM copyright and permissions policy to make yourself aware of any conflicts, expectations, releases, and 3rd party material information that will be needed to include certain figures, images, or other material in your submission:
- The ACM eform assigned to your paper should be completed within 48-72 hours after receipt. The ACM eform only takes a few moments to complete and will be emailed to you direct from ACM. You will receive an automatic weekly reminder, as well as an email(s) from the publications vendor, until your eform has been received.
- Please note ACM's copyright eform is not able to deal with the non-english special characters, e.g., á, ä, ü, ö. etc. When authors add their names and title of the paper into the ACM copyright eform, we ask you to please replace all special characters with standard English characters before submitting. If you DO NOT remove the special characters, the ACM system will replace all these characters with an "_". ACM does not allow having this and will request that you resubmit the form.
- The title and authors' names on the completed eform should be identical to those found in your final submission.
- Please download the ACM LARGE template word document, at https://www.acm.org/publications/authors/submissions
- We strongly encourage you to review the sample file included in the package at the above link so you will be aware of the mandatory sections, copyright strip information (see step c and the ACM Rights Review Confirmation email, once received), formatting requirements, font requirements, font sizes, and spacing required for the final submission.
- All fonts must be embedded. Type 1 or TrueType fonts must be used. Type 3 fonts are NOT allowed. TrueType fonts are allowable, but will be tested for any problems which may need to be rectified.

Copyright Information
- The correct joint UbiComp/ISWC 2018 Adjunct copyright-permission notice needs to be inserted in the template file, see page 1, bottom-left column, before you submit your final version. The copyright-permission notice will be emailed to you after you have submitted your eform to ACM. You will need to include this notice in your existing ACM LARGE formatted submission.

- A few common errors to avoid:
- "UbiComp/ISWC '18" must have a capital "U" and "C" in 'UbiComp'; "ISWC" is in all capital letters; leave a space between "UbiComp/ISWC" and "'18" (note the apostrophe before 18)
- "UbiComp/ISWC '18" must be in italics; Adjunct is not in italics
- do not include any spaces around the en dash in the date and do not abbreviate the month; it should be "October 8–12"
Prepare a high quality PDF

Formatting Style - Please make sure you have done the following:
- Template - I have used the latest version of the ACM LARGE template
- Paper size - document's paper size is 11x8.5 inches (279x216 mm / US Letter landscape) and *not* 11.7x8.3 inches (297x210 mm / A4)
- Title - The First Letter of the Main Words in Your Title are Capitalized [This is the number one mistake on papers]
- Authors' Line - All authors' names and affiliations match their entries in the final submission
- Abstract - My abstract appears at the beginning of my submission
- References - All citations are listed in a References section at the end of my submission and are the same font size as other body text
- Author Keywords - My Author Keywords are included in my document and the keywords are separated with semicolons; this is an optional section but strongly encouraged
- ACM Classification - The primary and additional ACM Classifiers I have selected are appropriate and appear in my document, separated by semicolons with the primary classifier listed first; this is an optional section but strongly encouraged
- Acknowledgements - I have included any funding/special contribution acknowledgements required by any research, financial, or other grants received.
- Bad Breaks - I have checked my submission to avoid bad breaks, widows, and orphans - see http://www.tex.ac.uk/cgi-bin/texfaq2html?label=widows and http://en.wikipedia.org/wiki/Widows_and_orphans
- Text following headings - Section and Sub-section heads have at least 2 lines of body text below them when they appear at the end of a page or column
- No page numbers - There are no numbers at the bottom of pages

Images and Figures
- B&W appearance - Figures are properly legible in black and white
- Resolution - at least 300 dpi
- Image file format - I have used lossless image formats (eg/ TIFF, PNG) instead of lossy ones (eg/ JPEG) where possible
- Line width - All lines in Figures are at least 0.5pt+ thick to ensure visibility

PDF Generation
- LaTeX users: No Type 3 fonts - verify that no Type 3 fonts are included
- Fonts Embedded - verify that all fonts are embedded

Additional Material
- Thumbnail image (Optional) - If you choose to supply a thumbnail image, make sure it is in the appropriate format (72 dpi+, 100 pixels wide, .jpg format)
- Thumbnail image caption (Mandatory if providing a thumbnail image) - If you provide a thumbnail image, you need to prepare a short caption for it (20-30 words)
- Video figure (Optional) - If you provide a video figure, it conforms to the requirements for accompanying videos
- Auxiliary material (Optional) - If you provide auxiliary material (eg/ data files), you have created a single ZIP file of all material as required by ACM for the DL
- Description of Auxiliary material (Mandatory if providing auxiliary material) - If you provide auxiliary material, you need to prepare a short description of the files included in the auxiliary material ZIP file
Final Steps
- Submit the final camera-ready version direct to PCS
What to Expect After You Submit
- When you submit your final version, you will receive a confirmation email from PCS.
- The submissions will be checked and processed, the contact author or all authors will be contacted by Meghan Haley at Junction Publishing, and will inform you of the following:
- That everything is in order with your submission and that your completed ACM eform has been verified, and/or
- That you must revise or repair the issues that exist with your submission. Included in this email will be specific information about how to revise/fix your submission to meet ACM & SIGCHI requirements. Please respond to any such requests promptly, because your paper cannot be placed into the ACM DL until it meets all requirements.
- It is important to note that the presenting author should register to attend the conference by the early bird deadline.
